CAD MyShares is a resource intended for the sharing of non-confidential information between students, faculty, and staff for daily operations and course-related material. Following an ISO review of CAD MyShares, it has been determined that CAD MyShares do not have security protocols in place for confidential and private information. CAD Tech does not have the capacity to oversee MyShares in a way that would meet confidential or private security standards.
We recently discovered a large presence of confidential information in these shares that our servers are not certified to host, per the ISO’s standards, found here. Additional information on what counts as confidential and private data can be found here.
In response to these concerns, we have locked down the CAD MyShares service while we work with the ISO on a plan of action. At this time, you are still able to access your existing shares, but you may not add additional people nor make edits to the shares. In the coming weeks as we work with the ISO on a plan of action, many shares will still be accessible but will become read-only.
As part of this change, CAD will not be reopening access to the CAD MyShares services to external divisions and colleges. We will have to approve each share created on our servers, and our team cannot afford to offer this service to the entire university as approving shares for CAD alone will be an increase in workload for our small team.
Other alternatives for storing your data include OneDrive (for data below private-level) and an ITS fileshare (can support private-level data).
We are working to determine a date that is convenient for departments across the university to have all non-CAD related data removed from our shares and will be reaching out to share owners and delegates with the cutoff date once we have determined it. This means any non-CAD data that is not removed by the date we determine will be removed from our server.
If existing offerings for data storage do not meet your college’s needs, please consider contacting ITS or your IT department to discuss provisioning a resource that meets the data needs of your college.
